How to Order Custom Team Uniforms: A Planning Checklist

A practical planning checklist for team managers ordering custom uniforms—from roster and artwork preparation through proof review and reorders.

Custom team uniform pieces arranged with coordinating thread before production.

Ordering custom team uniforms involves more than choosing a jersey design. A successful order connects the roster, sizing, colors, artwork, personalization, budget, approval process, and required date before production begins.

This checklist gives team managers, coaches, club leaders, and school organizers a practical way to prepare. Product options and production requirements vary, so confirm the details that apply to your specific project before approval.

Start with the program, not the artwork

Define the purpose and scope of the order first. Identify the sport or activity, who will wear the uniforms, the number of participants, whether the program needs home and away options, and the date the uniforms must be in hand.

  • Team, club, school, or organization name
  • Sport, age group, and intended use
  • Estimated quantity and possible late additions
  • Required date and first event or competition date
  • One person authorized to approve design, roster, and cost

These decisions narrow the product search and make the quote easier to evaluate.

Build one clean roster

Use one shared roster with a row for every participant. Separate the information into dedicated columns so names, numbers, sizes, and garment choices are not buried in email threads or handwritten notes.

  • Player name exactly as it should appear
  • Uniform number and duplicate-number check
  • Garment size and applicable cut
  • Jersey, shorts, or package selection
  • Captain, goalkeeper, coach, or other special designation
  • Notes that require confirmation

Review the roster with the team before submission and keep a dated copy of the approved version.

Collect useful artwork and color references

Provide the clearest logo file available, plus the team name, color references, sponsor marks, preferred fonts, and examples of any established visual style. A screenshot can help explain an idea, but the final production path may require a different file format or higher-quality artwork.

If exact color matching matters, identify the reference being used and confirm how color will be evaluated for the selected product. Screen colors, printed samples, and different materials can look different.

Confirm the complete product scope

Ask what is included for the selected uniform and what remains optional. Clarify the garment pieces, personalization, available sizes, decoration method, artwork work, minimums, pricing, proof process, and fulfillment path.

Do not assume that every design, material, cut, or reorder follows the same requirements. New Wave Print defines the applicable details in the product information or project quote.

Review the proof deliberately

When a proof is part of the order, treat it as the final checkpoint. Review the team name, logo proportions, sponsor marks, colors, front and back numbers, player names, spelling, placement, sizes, quantities, and garment selections.

Have the designated approver compare the proof against the approved roster and artwork references. Submit corrections together so the project has one clear direction.

Plan for reorders before the first order

Teams change. Ask how later additions will be handled, what information should be retained, and whether the same product and design are expected to remain available. Keep the final roster, approved artwork, color references, product details, and proof together for future use.
